Position Title: Executive Assistant

Jones Networking is recruiting for an Executive Assistant with strong administrative and accounting experience. Our client is an Investment Firm that offers competitive salary, excellent benefits, paid parking, generous PTO plan and a hybrid remote schedule.

Executive Assistant Position Description: 
-Manage the office lease/space, assisting with procuring any office supplies/IT equipment and overseeing incoming/outgoing mail.
-Enter and pay office invoices and expense reimbursements from Partners.
-Schedule travel arrangements and meetings on behalf of the Partners.
-Help manage issues with existing software and for higher level issues, coordinate with IT consultants.
-Perform Fund Accounting which includes the maintenance of internal control procedures for verification and payment of invoices & accrued expenses, ensuring each is allocated to the correct entity/company, transferring funds as necessary between entities and assisting with the preparation of financial statements.
-Assist with Fund Administration which includes entering information into Fund Management Software, receiving, verifying & storing financial statements for each portfolio company quarterly, and calculating & maintaining fund management fees.
-Participate in Entity Management which includes; creating new entities, maintaining regulatory/licensing compliance for each entity and filing appropriate compliance paperwork.
-Oversee Investor Relations which includes; responding to Investor requests as well as receiving, verifying, tracking and following up on payments related to subscription agreements.

Executive Assistant Qualifications Summary:
-Minimum five years of accounting / finance experience.
-Minimum two years of executive assistant, office management and/or administrative assistant experience.
-Bachelor’s Degree in relative field.
-Strong schedule management and project management experience.
-QuickBooks experience is a plus.
-Excellent written and verbal communication skills.
-Tech savvy; able to learn new software quickly and troubleshoot issues efficiently.
-Flexibility to work in the office 2-3 days a week.
