Office Manager Position Summary:

  • Manage administrative and bookkeeping functions
  • Process supplier invoices and take all reasonable discounts on supplier invoices
  • Issue invoices to clients
  • Ensure that accounts receivables are collected promptly
  • Conduct a monthly reconciliation of each bank account
  • Work closely with external accountant who creates the company’s financial statements
  • Assemble information for external auditors for the annual audit
  • Maintain the chart of accounts
  • Process payroll
  • Purchase supplies and equipment
  • Monitor office supply levels and reorder as necessary
  • Assist with administration of employee 401(k) plan
  • Coordinate office events

Office Manager Qualifications Summary:

  • Relevant Bookkeeping experience; this includes A/P, A/R, and payroll
  • Proficiency with Deltek Vision Software required
  • Experience at an Engineering, Architecture or Professional Services firm a plus
  • Knowledge of Generally Accepted Accounting Principles (GAAP)
  • Strong organizational ability and good attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office applications
